  • Overview

    Under the direct supervision of the Operations Manager the Scale Clerk is responsible for tracking all materials coming into or leaving the facility, receiving and entering sales tickets, acting as the first point of contact for all external callers and visitors to the operations location, and providing administrative support.

     

    Responsibilities

    • Greet and assist external callers and the public in a courteous and professional manner. Respond to customer inquiries regarding product information and price quotes of product readily available, set up corresponding jobs in the tracking system, and generate sales tickets at customer transport.

    • Operate the weight station scale – ticketing trucks to ensure trucks leaving the facility are at a safe and legal weight.

    • Properly ticket trucks and transmit those tickets to corporate on a daily basis for billing using Integra and Paperstream. software and sends in all hard copy tickets to corporate at the end of the month.

    • Set up trucking vendors and enter new trucks into the computer for proper ticketing.

    • Coordinate daily with the Operations Manager and loader operator for material inventories information.

    • Receive, annotate, and process payments for COD accounts.

    • Maintain records for all daily cash accounts and prepare daily deposit.

    • Balance and handle petty cash box on a daily basis.

    • Assure that site visitors are provided appropriate Site-Specific Safety Training and said training is documented.

    • Assure that appropriate site personnel are informed of site visitors when they arrive.

    • Maintain files regarding MSHA documentation needed for inspections.

    • Order Safety Equipment (PPE) and supplies for the office.

    • Maintain a neat and orderly work environment.

    • Assist with cleaning the scale house, sweep floor, take out trash, and clean restrooms.

    • Perform other duties as directed.  


    Competencies

    • Mathematical skills including weights and measures conversions

    • Communication skills – oral and written

    • Computer skills – Microsoft office applications

    • Knowledge of MSHA standards and regulations

    • Knowledge of Accounts Receivable

    Qualifications

    • High School diploma or equivalent
    • 1 year of relevant experience in office administration preferred
    • Microsoft Office Applications experience required
    • Bilingual English/Spanish preferred
    • Valid driver’s license required
